Terms & Conditions
Last updated: September 2026

These Terms & Conditions apply to all bookings, enquiries and services provided by Pink Monkey Corporate Events (“Pink Monkey”, “we”, “us” or “our”) to corporate clients, companies, event organisers and individuals booking on behalf of a group (“the Client”, “you” or “your”).

By confirming a booking with us, you agree to these Terms & Conditions.

1. About Pink Monkey Corporate Events
Pink Monkey Corporate Events organises corporate events, team-building activities, group experiences, venues and related event services in Portugal and other European destinations.

Pink Monkey may work with independent activity providers, venues, transport companies, entertainers, instructors, caterers and other third-party suppliers (“Suppliers”) to deliver elements of an event.

The exact services included in each booking will be confirmed in writing in the quotation, proposal, booking confirmation or invoice.

2. Enquiries and Quotations
All quotations are subject to availability and are valid for the period stated in the quotation.
A quotation does not constitute a confirmed booking.
Prices may be subject to change until the booking has been confirmed and the required payment has been received.
Unless specifically stated otherwise, quotations are based on the information provided by the Client, including the estimated number of participants, date, timings, location and requested services.
If these details change, we reserve the right to revise the quotation accordingly.

3. Booking Confirmation
A booking becomes confirmed when:
the Client accepts the quotation or proposal;
the required deposit or payment has been received; and
Pink Monkey has confirmed the booking in writing.
Once confirmed, the Client is responsible for the agreed booking and the payment terms set out in the booking confirmation.

4. Payments
Payment terms will be stated on the quotation or invoice.

Unless otherwise agreed in writing, a deposit will be required to secure the booking, with the remaining balance payable by the date specified on the invoice.
For larger or bespoke events, different payment schedules may apply.
If payment is not received by the agreed deadline, Pink Monkey reserves the right to suspend or cancel the booking and retain any non-refundable amounts already paid.
The Client remains responsible for any bank charges or transaction fees associated with payments.

5. Changes to a Booking
We understand that corporate events can change as plans develop.
Requests to change a booking, including changes to:
date;
location;
number of participants;
activities;
timings;
catering;
transport; or
other event requirements
should be made as early as possible.
We will make reasonable efforts to accommodate changes, subject to availability.
Changes may result in additional charges, particularly where Suppliers have already been booked or costs have been incurred.
A reduction in participant numbers may affect the price per person or the minimum booking price.

6. Participant Numbers
The Client must provide an accurate estimated number of participants when booking.
Final participant numbers must be provided by the deadline stated in the booking confirmation.
Where an event has a minimum number of participants, the Client will remain responsible for the minimum agreed charge even if fewer participants attend.
Where additional participants are added after the final numbers have been confirmed, we will make reasonable efforts to accommodate them, subject to availability and additional charges.

7. Cancellation by the Client
Cancellation terms will normally be stated in the booking proposal or confirmation because cancellation costs can vary significantly depending on the event and Suppliers involved.
Unless different cancellation terms have been agreed in writing, the following general cancellation policy applies:
More than 60 days before the event: deposit may be retained to cover costs already incurred.
30–60 days before the event: up to 50% of the total booking price may be payable.
30–or less before the event:100% of the total booking price may be payable.
Where a Supplier’s cancellation policy imposes stricter or non-refundable charges, those costs may be passed on to the Client.
For bespoke, large-scale or specially contracted events, separate cancellation terms may apply and will be stated in the booking documentation.

8. Cancellation by Pink Monkey
We reserve the right to cancel or substantially modify an event where this is necessary because of circumstances outside our reasonable control, including severe weather, venue closure, Supplier failure, safety concerns, government restrictions, strikes, transport disruption or other circumstances that make the event impractical or unsafe.
Where reasonably possible, we will offer an alternative activity, date or arrangement.
If we are unable to provide a suitable alternative, the Client will be entitled to a refund of payments made for the affected service, subject to any specific terms agreed for the booking.
Our liability will not extend to consequential losses such as flights, accommodation, lost business, salaries, travel expenses or other costs incurred by the Client or participants unless required by applicable law.

9. Force Majeure
Neither party will be responsible for failure or delay in performing its obligations where this is caused by circumstances beyond its reasonable control.

Such circumstances may include, but are not limited to:
extreme weather;
natural disasters;
fire;
flooding;
epidemic or pandemic;
war or civil unrest;
government restrictions;
strikes;
transport disruption;
power or telecommunications failures;
venue closure;
Supplier failure; or
other circumstances reasonably outside the affected party’s control.
We will make reasonable efforts to minimise disruption and find an appropriate alternative where possible.

10. Weather
Some activities are weather dependent.
Where weather conditions make an activity unsafe or impractical, Pink Monkey or the relevant Supplier may modify, postpone or replace the activity.
We will endeavour to provide a suitable alternative whenever reasonably possible.
Normal seasonal weather or conditions that do not prevent the activity from taking place will not normally constitute grounds for a refund.

11. Participant Health, Fitness and Ability
The Client is responsible for ensuring that participants are reasonably able to take part in the activities booked.
Participants should inform the relevant organiser or instructor before an activity of any condition, injury, allergy, dietary requirement or other relevant circumstance that could affect their safe participation.
Certain activities may have specific age, health, fitness, weight, clothing or other requirements. These will be communicated where applicable.
Pink Monkey reserves the right to refuse participation where a participant presents a genuine safety risk to themselves, other participants, staff or Suppliers.

12. Alcohol and Behaviour
Corporate events are intended to be enjoyable and professional.
Participants must behave responsibly and follow reasonable instructions given by Pink Monkey staff, activity leaders, venues and Suppliers.
We reserve the right to remove a participant from an activity or venue where their behaviour is dangerous, abusive, threatening, discriminatory, excessively disruptive or otherwise inappropriate.
No refund will normally be provided for a participant who is removed from an activity due to their own behaviour.
Where damage is caused to property by a participant through deliberate, reckless or negligent behaviour, the Client may be responsible for the resulting costs.

13. Third-Party Suppliers
Pink Monkey may use independent third-party Suppliers to provide activities, venues, transport, catering, entertainment or other services.
We carefully select Suppliers and will use reasonable care when arranging services.
However, where a service is provided by an independent Supplier, that Supplier may have its own terms, safety requirements and cancellation policies.
The Client agrees to comply with the reasonable rules and instructions of those Suppliers.

14. Transport
Where transport is included in the booking, timings and arrangements will be confirmed in advance.
Transport schedules may be affected by traffic, road closures, weather, accidents or other circumstances outside our control.
Participants are responsible for being ready at the agreed collection points at the agreed times.
Failure to arrive on time may result in the transport departing without the participant, and additional transport costs may be charged where an alternative arrangement is required.

15. Venues
Venue hire is subject to the individual venue’s availability and terms.
Unless specifically agreed otherwise, the Client is responsible for complying with the venue’s rules regarding behaviour, noise, damage, capacity and use of facilities.
Additional charges imposed by a venue as a result of damage or exceptional cleaning requirements caused by the Client or participants may be passed on to the Client.

16. Liability
Pink Monkey will provide its services with reasonable care and skill.
Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation would be unlawful.
Subject to applicable law, Pink Monkey will not be liable for indirect or consequential losses, loss of profits, loss of business, loss of anticipated savings or other economic losses arising from an event.
Where an activity or service is provided by an independent Supplier, the Supplier may have responsibility for the direct provision and safe operation of that service.
Nothing in these Terms & Conditions affects any statutory rights that cannot legally be excluded.

17. Client Responsibilities
The Client is responsible for:
providing accurate booking information;
providing accurate participant numbers;
informing us of relevant dietary requirements or accessibility needs;
ensuring participants are aware of relevant arrangements;
ensuring participants arrive at the agreed location on time;
following reasonable instructions provided by Pink Monkey and Suppliers; and
making payments by the agreed deadlines.
18. Accessibility and Special Requirements
We aim to make our events as inclusive as reasonably possible.
Clients should inform us of accessibility requirements, mobility requirements, dietary restrictions, allergies or other relevant requirements at the time of booking or as soon as they become known.
We will work with the Client and relevant Suppliers to identify suitable arrangements wherever reasonably possible.
Some activities or venues may have physical or operational limitations which cannot be completely eliminated.

19. Photography and Marketing
Pink Monkey or its Suppliers may take photographs or videos during events for operational or promotional purposes.
We will respect reasonable requests regarding photography.
Where identifiable images of participants are intended to be used for marketing purposes, appropriate consent will be obtained where required by applicable data protection law.
Clients should inform us in advance if photography or filming presents a particular concern.

20. Data Protection
We process personal information in accordance with applicable data protection legislation, including the EU General Data Protection Regulation (GDPR), where applicable.
Personal information may be used to:
process bookings;
communicate with the Client;
organise activities and Suppliers;
process payments;
meet legal and accounting obligations; and
provide customer support.
Where necessary to fulfil a booking, relevant information may be shared with Suppliers involved in delivering the event.
Further information is available in our Privacy Policy.

21. Complaints
We want every event to run smoothly.
If there is a problem during an event, the Client should notify Pink Monkey or the relevant activity leader as soon as possible so that we have a reasonable opportunity to resolve the issue.
Complaints relating to an event should normally be submitted in writing within 7 days of the event, including relevant details and supporting information.
We will investigate complaints fairly and respond within a reasonable period.

22. Intellectual Property
All content appearing on the Pink Monkey Corporate Events website, including text, photographs, graphics, logos, branding and original materials, belongs to Pink Monkey or its licensors unless otherwise stated.
Content may not be copied, reproduced or commercially exploited without prior written permission.

23. Website Information
We make reasonable efforts to ensure that information on our website is accurate and up to date.
However, activities, venues, prices, availability and event arrangements may change.
The specific terms of your confirmed booking take precedence over general information published on the website.

24. Prices and Taxes
All prices will be provided in the applicable currency and will specify whether taxes or VAT are included where required.
Any applicable VAT, taxes, service charges or additional costs will be communicated to the Client as part of the quotation or invoice.

25. Governing Law
These Terms & Conditions are governed by the laws applicable to the contracting entity providing the services, unless otherwise required by applicable consumer or mandatory law.
Where the Client is a business acting in the course of its business, the parties may agree that the courts of the relevant jurisdiction have exclusive jurisdiction over disputes.
Nothing in these Terms & Conditions removes any mandatory legal rights available to consumers under applicable law.

26. Changes to These Terms
Pink Monkey may update these Terms & Conditions from time to time.
The version applicable to a booking will normally be the version in force when the booking was confirmed, unless a later change is required by law.
